Welcome to the Ultimate Print Online Ordering Portal ("Portal"), operated by Ultimate Print Sdn Bhd ("Ultimate Print", "we", "our", or "us").

These Terms & Conditions govern your access to and use of the Portal, including all products, services, quotations, artwork submissions, online ordering and related printing services provided through the Portal.

By creating an account, uploading files, requesting quotations, approving artwork or placing an order through the Portal, you acknowledge that you have read, understood and agreed to be bound by these Terms & Conditions.


1. Acceptance of Orders

All orders submitted through the Portal are subject to review and acceptance by Ultimate Print.

We reserve the right to decline, suspend, modify or cancel any order that:

  • Contains incomplete, inaccurate or misleading information.
  • Does not comply with our production requirements.
  • Infringes intellectual property rights.
  • Contains unlawful, offensive, defamatory or prohibited content.
  • Cannot be produced due to technical, operational or material limitations.

An order shall only be deemed accepted upon:

  1. Receipt of successful payment (where applicable);
  2. Submission of complete print-ready artwork;
  3. Issuance of an official order confirmation by Ultimate Print.

2. Customer Account Responsibilities

Customers are responsible for maintaining the confidentiality of their account credentials and all activities conducted under their account.

You agree to:

  • Provide accurate, complete and current information.
  • Promptly update any changes to your account information.
  • Safeguard your login credentials.
  • Notify Ultimate Print immediately of any unauthorized access or suspected security breach.

Ultimate Print shall not be liable for losses arising from unauthorized use of customer accounts.


3. Artwork Submission & Customer Responsibilities

Customers are solely responsible for ensuring that all uploaded files are accurate, complete and suitable for printing.

Prior to submission, customers must verify:

  • Text, spelling and grammar
  • Dimensions and layout
  • Image resolution and quality
  • QR code and barcode functionality
  • Bleed, trim marks and safety margins
  • Page sequence and pagination
  • Colour settings and specifications
  • Embedded fonts and linked images

Ultimate Print may perform a basic file preflight check; however, this does not constitute a comprehensive proofing or quality assurance service.

Ultimate Print shall not be responsible for errors contained within customer-supplied files, including but not limited to:

  • Typographical errors
  • Incorrect layouts
  • Low-resolution images
  • Colour setting errors
  • Missing fonts
  • Incorrect pagination
  • Improper bleed settings

Files will be printed as submitted unless additional design, artwork correction or prepress services are specifically requested and agreed upon.


4. Artwork Approval

Production will commence only after:

  • Artwork approval has been received; and
  • Payment has been successfully verified, where applicable.

Once artwork approval is granted:

  • No further changes may be accepted.
  • Ultimate Print shall not be responsible for any errors contained in the approved artwork.
  • Any post-approval amendments may be subject to additional charges and revised delivery schedules.

5. Intellectual Property Rights

By uploading artwork, designs, images, logos, text or other content to the Portal, you represent and warrant that:

  • You own the rights to the submitted content; or
  • You have obtained all necessary permissions, licenses and approvals.

Ultimate Print assumes no responsibility for verifying ownership of submitted content.

Customers agree to indemnify and hold harmless Ultimate Print against any claims, liabilities, losses, damages, legal fees and expenses arising from:

  • Copyright infringement
  • Trademark infringement
  • Patent infringement
  • Intellectual property disputes
  • Unauthorized use of third-party content

6. Pricing & Quotations

All prices displayed on the Portal are subject to change without prior notice.

Quotations generated through the Portal are based on the specifications provided by the customer and remain valid only during the stated validity period.

Additional charges may apply for:

  • Artwork modifications
  • Design services
  • Proofing services
  • Special finishing requirements
  • Urgent production requests
  • Additional samples
  • Multiple delivery locations
  • Custom packaging requirements
  • Customer-requested production changes

Ultimate Print reserves the right to correct pricing errors caused by technical, system or administrative inaccuracies.


7. Payment Terms

Unless otherwise agreed in writing:

Payment Requirement

Full payment must be received before production begins.

Accepted Payment Methods

Available payment methods may include:

  • Online Banking
  • FPX
  • Credit Cards
  • Debit Cards
  • Approved Payment Gateways

Orders with incomplete, disputed, unsuccessful or unverified payments shall not proceed to production.

Ultimate Print reserves the right to suspend or cancel orders pending payment verification.


8. Production Lead Time

Production lead times displayed on the Portal are estimates only.

Production schedules commence only upon:

  1. Receipt of complete print-ready artwork;
  2. Final artwork approval;
  3. Successful payment confirmation.

Production schedules may be affected by:

  • Material availability
  • Production capacity
  • Equipment maintenance
  • Public holidays
  • Technical issues
  • Force majeure events

Ultimate Print shall not be liable for delays beyond its reasonable control.


9. Urgent Production Requests

Rush or urgent production requests may be accepted subject to production capacity and scheduling availability.

Additional charges may apply.

Acceptance of a rush order does not constitute a guaranteed delivery commitment unless expressly confirmed in writing by Ultimate Print.


10. Quantity & Manufacturing Tolerance

Due to the nature of printing and finishing processes, reasonable production variances may occur.

Unless otherwise agreed:

Quantity Tolerance

A production variance of up to ±5% shall be considered acceptable.

Ultimate Print reserves the right to deliver and invoice based on the actual quantity produced where applicable.

Industry Tolerances

The following shall be considered acceptable industry standards and shall not constitute defects:

  • Colour variation
  • Trimming variation
  • Folding variation
  • Binding variation
  • Perforation variation
  • Die-cutting variation
  • Finishing alignment variation

11. Colour Accuracy

Printed colours may differ from:

  • Computer monitors
  • Mobile devices
  • Digital proofs
  • Previous print runs

Variations may occur due to:

  • Paper characteristics
  • Ink absorption
  • Printing processes
  • Environmental conditions
  • Production equipment

Exact colour matching is not guaranteed unless specifically agreed in writing.

Customers requiring critical colour accuracy are encouraged to request hardcopy proofs or colour matching services before production.


12. Delivery & Collection

Delivery dates are estimates only and are not guaranteed.

Ultimate Print shall not be liable for delays caused by:

  • Courier service providers
  • Customs clearance
  • Weather conditions
  • Transportation disruptions
  • Customer unavailability
  • Force majeure events

Risk and ownership of goods transfer to the customer upon:

  • Collection by the customer; or
  • Handover to the appointed courier or logistics provider.

13. Packaging

Products may be packed using appropriate methods including:

  • Cartons
  • Kraft Paper Wrapping
  • Shrink Wrapping
  • Palletized Packaging
  • Other suitable protective materials

Packaging methods shall be determined based on product type, quantity and shipping requirements.

Additional packaging requirements requested by customers may incur extra charges.


14. Multiple Delivery Locations

Orders requiring shipment to multiple delivery addresses may incur additional:

  • Freight charges
  • Handling fees
  • Packaging costs
  • Administrative charges

Customers must provide complete delivery details prior to production completion.


15. Order Changes & Cancellation

Orders may only be amended or cancelled before production commences.

Once production has started:

No Cancellation

Orders cannot be cancelled.

No Specification Changes

Changes to:

  • Artwork
  • Quantity
  • Materials
  • Finishing specifications
  • Delivery instructions

may not be accepted.

Where changes are possible, additional charges and revised delivery schedules may apply.


16. Claims, Defects & Reprints

Customers must inspect all products immediately upon receipt.

Claims relating to:

  • Printing defects
  • Missing quantities
  • Delivery damage
  • Manufacturing errors

must be submitted in writing within five (5) working days from receipt.

Claims must include:

  • Order number
  • Supporting photographs
  • Detailed description of the issue

Ultimate Print reserves the right to inspect the products before determining an appropriate resolution.

If a claim is accepted, Ultimate Print may, at its sole discretion:

  • Reprint the affected products;
  • Repair the products;
  • Issue a partial credit; or
  • Provide a refund.

17. Returns & Refunds

As all printed products are custom-manufactured:

Non-Returnable

Products are generally non-returnable.

Non-Refundable

Products are generally non-refundable.

Refunds, replacements or reprints will only be considered where the delivered products materially differ from approved order specifications.

Refunds shall not be granted for:

  • Customer artwork errors
  • Spelling mistakes
  • Incorrect file submissions
  • Colour variations within industry tolerance
  • Third-party courier delays

18. Customer File Storage & Retention

Ultimate Print may retain customer artwork, proofs and production files for operational purposes.

However:

  • File storage is not guaranteed.
  • Customers are responsible for maintaining backup copies of all files.
  • Ultimate Print may remove archived files without prior notice.

19. Electronic Communications

By using the Portal, customers consent to receive electronic communications relating to:

  • Quotations
  • Order confirmations
  • Artwork approvals
  • Invoices
  • Shipping notifications
  • Service updates

Electronic communications shall be deemed legally equivalent to written communications.


20. Website Availability

While Ultimate Print strives to maintain uninterrupted access to the Portal, continuous availability is not guaranteed.

The Portal may occasionally be unavailable due to:

  • System maintenance
  • Software upgrades
  • Security enhancements
  • Network disruptions
  • Circumstances beyond our control

Ultimate Print shall not be liable for losses resulting from temporary service interruptions.


21. Data Protection & Privacy

Ultimate Print respects your privacy and is committed to protecting personal information.

Information collected through the Portal may be used for:

  • Order processing
  • Customer support
  • Billing and payment verification
  • Delivery arrangements
  • Service communications
  • Business administration

Personal information will be handled in accordance with applicable Malaysian data protection laws.


22. Limitation of Liability

To the fullest extent permitted by law, Ultimate Print's total liability shall be limited to the value of the affected order.

Under no circumstances shall Ultimate Print be liable for:

  • Loss of profits
  • Loss of revenue
  • Loss of business opportunities
  • Loss of data
  • Indirect damages
  • Consequential damages
  • Special damages

arising from the use of the Portal or printing services.


23. Force Majeure

Ultimate Print shall not be responsible for delays or failure to perform obligations due to events beyond its reasonable control, including but not limited to:

  • Natural disasters
  • Floods
  • Fires
  • Pandemics
  • Government actions
  • Power failures
  • Equipment breakdowns
  • Transportation disruptions
  • Labour disputes
  • Acts of war

24. Governing Law

These Terms & Conditions shall be governed by and construed in accordance with the laws of Malaysia.

Any dispute arising from or relating to these Terms & Conditions shall be subject to the exclusive jurisdiction of the courts of Malaysia.


25. Entire Agreement

These Terms & Conditions constitute the entire agreement between Ultimate Print and the customer regarding the use of the Portal and related printing services and supersede all prior communications, representations and agreements.
